Most service businesses lose 15–35% of inbound calls to voicemail. Some weeks more. The reason isn't bad operations — it's that one person can't be on a roof, on a service call, and answering the phone all at once. Missed-call-text-back closes the gap by auto-texting the caller within seconds, while they still remember they wanted you.

What you need

Twilio account with a tracked phone number forwarding to the main business line (or a port of the main number into Twilio). Make.com or Zapier account. That's it. Total tooling cost runs $40–$80/month for a small operator.

The flow

Call arrives → Twilio routes to business line → if no answer in 4 rings, Twilio fires a webhook to Make.com → Make.com sends an SMS to the caller's number using a templated message → Make.com also notifies the operator via Slack/SMS with caller details. Total elapsed time from missed-call-hangup to SMS delivered: 8–15 seconds.

What to write

The message that consistently outperforms in our split tests has three properties: it's signed by a real person, it asks a question, and it gives one specific time commitment. Here's the template we use as a starting point.

Hi — this is Mike at Ridge HVAC. I just missed your call. Want me to ring you back in 10 minutes, or text me what's going on and I'll get back to you faster?

Emergency-leaning trades (plumbing, HVAC) recover the highest share because the caller has immediate pain. Discretionary trades (landscaping) recover less because the caller can shop more leisurely.

  • Do I need consent to send the auto-text?

    The caller initiated contact by dialing your business number, which under most US state interpretations constitutes implied consent for a transactional reply about that contact. Marketing follow-ups after the initial reply require separate explicit opt-in. Confirm specifics with counsel for your state.

  • What if the caller is on a landline?

    The SMS won't deliver and you'll get a failure notification. Most missed-call-text-back tools fall back to email or a callback notification to the operator in that case. ~6–8% of missed calls in our audits come from landlines.

  • Will this work with a softphone or VoIP system?

    Yes, as long as the system can forward to a Twilio number and Twilio can detect the no-answer. Most modern VoIP systems (RingCentral, Dialpad, Grasshopper) support this natively or via a SIP forwarding rule.
